Export Reports for Taxes

Generate tax-ready expense reports and mileage logs for your accountant or tax software.

How to Export Reports
  1. Go to Reports in the main navigation
  2. Choose your date range:
    • This Year (January 1 - December 31 for taxes)
    • This Quarter (for quarterly estimated taxes)
    • Custom Range (for specific periods)
  3. Select what to include:
    • Receipts only
    • Mileage only
    • Everything (recommended for taxes)
  4. Choose your format: Excel (.xlsx), CSV, or PDF
  5. Click "Export" to download

Best for accountants and detailed analysis.

What's Included in Expense Reports

Summary Page:

  • Total expenses by category
  • Total mileage and mileage deduction
  • Grand total of all deductions
  • Number of receipts and trips

Detailed Expense List:

For each receipt:

  • Date
  • Merchant/Vendor
  • Amount
  • Category (e.g., Office Supplies, Client Meals)
  • Payment method
  • Notes
  • Tags (client/project)
  • Receipt image link (Excel/CSV) or embedded image (PDF)

Mileage Log:

For each trip:

  • Date
  • Starting location
  • Destination
  • Miles driven
  • Business purpose
  • Deduction amount (miles × $0.70)
Common Use Cases

For your accountant:

Export as Excel with full year date range. Include everything (receipts + mileage). Email the file to your accountant. They can easily work with Excel for tax preparation.

For TurboTax / H&R Block / TaxAct:

Export as CSV for easy importing. Most tax software accepts CSV imports for Schedule C business expenses. Follow the import wizard in your tax software.

For quarterly estimated taxes:

Export as Excel or CSV for just the quarter (Jan-Mar, Apr-Jun, Jul-Sep, Oct-Dec). This helps you calculate quarterly expense totals for estimated tax payments.

For IRS audit defense:

Export as PDF with all receipt images. Keep this file with your tax records for 7 years. If audited, you have a complete paper trail.

Pro Tips
  • Export early (before tax deadline): Generate your reports in January so you have time to review and catch any missing expenses.
  • Keep a backup: After exporting, save the file to cloud storage (Dropbox, Google Drive) as a permanent backup. Receipt.help stores data forever, but it's good to have your own copy.
  • Review before sending: Open the exported file and scan for errors (duplicates, missing categories, etc.). Fix any issues in Receipt.help, then re-export.
  • Quarterly exports for freelancers: If you pay estimated taxes quarterly, export reports 4 times per year to stay on top of deductions.
  • Include receipt images: Always export PDF with images for your permanent tax records. The IRS may request proof, and having images is crucial.
